Coordinator-Facilities

The Facilities Coordinator is responsible for ensuring the efficient operation and upkeep of the Neenah Service Center. This role supports office management, vendor coordination, facilities maintenance, internal communications, and logistical support for meetings and special events. The role will also provide administrative support to the SVP Supply Chain and the Supply Chain team.  This individual will serve as the go-to person for all administrative and operational needs across departments, helping to maintain a productive and positive workplace environment.

The Customer Service Analyst provides customer and sales support for Paper & Packaging. The role provides service to our customers through transactional and operational excellence to ensure customer expectations are met and exceeded. This position is involved in the activities that lead to capturing an order for Mativ products which involves direct contact with customers, sales, planning, logistics, and marketing. The CSA is responsible for the maintenance and upkeep of various system records, following-up on customer inquiries, and assisting customers with product questions and any service issue. He or she will focus on providing an efficient and effective process from customer inquiry through invoicing as well as building strong relationships with customers, sales, planning, and others within the organization.


Key Responsibilities:

Office Operations & Vendor Coordination

  • Manage relationships and service requests with vendors (e.g., Pro One for cleaning, Canteen for coffee, Icon Marketing for branded materials, Iron Mountain for record storage).
  • Order supplies, business cards, branded merchandise, and beverages; monitor inventory levels and replenish as needed. Oversee copier maintenance, toner replenishment, and paper supply distribution.
  • Track and reconcile monthly accruals; approve service PO confirmations and submit through Oracle.
  • Maintain the cleanliness and organization of common spaces including refrigerators, supply rooms, and conference areas.

Facility Management

  • Submit and track maintenance service requests through Oracle; escalate urgent requests as needed.
  • Monitor landscaping needs and coordinate with purchasing for vendor service.
  • Coordinate installation and seasonal storage of décor (e.g., Christmas tree, umbrellas).
